Pan Oston B.V. welcomes you to this website. We appreciate your interest in our company, products and services. Your privacy is very important to us. For this reason we want to inform you about how we use your personal data in conformity with the new privacy legislation (General Data Protection Regulation).

Personal data processed by us

Pan Oston B.V. processes your personal data, collected when you use our services and/or provided to us by you, for the purpose of our legitimate interests. The following is a list of the personal data processed by us:

  1. First name and surname
  2. Address and contact data
  3. Subject and submitted question
  4. Comment or problem


Purpose and basis for processing personal data

If you have a relationship with us, we use your data to be able to contact you for purposes that are in the interest of our company. Examples are: providing a quote, discussing the possibility of collaboration, or providing and receiving information.

Pan Oston B.V. processes your personal data for the following purposes:

  1. If you have asked us to provide a quote
  2. Handling of your payment/invoice
  3. Being able to call or e-mail you if this is necessary for the provision of our services
  4. To inform you about changes in our services and products
  5. Provisioning of our services
  6. Pan Oston B.V. also processes personal data if we are legally obliged to do so, for example for our accounting, i.e. data required for our tax return.


How long we will retain your personal data

Pan Oston B.V. will not retain your personal data longer than strictly necessary for realization of the purposes for which your personal data is collected. We will retain the data until the collaboration is terminated. We use the following retention periods for these categories:

  1. Data via the contact form max. 2 years
  2. Request/contact data via e-mail max. 2 years
  3. Invoicing/administrative data max. 7 years


Sharing of personal data with third parties

Pan Oston B.V. will share your personal data with different third parties when this is necessary for the realization of the agreement and/or to meet any legal obligations. We enter into a processor agreement with companies that process your data for us, to ensure the same level of security and confidentiality of your personal data. Pan Oston B.V. will remain responsible for the processing.

We use an external server room for storing data. When you have a relationship with us, your personal data is part of this relationship. For this purpose your personal data will be made available to our server room provider. Additionally, we use Microsoft Office and related (online) storage facilities for e-mail and other files.


Website security

All data you exchange with Pan Oston B.V. via our website (contact form) is encrypted using SSL security based on the HTTPS protocol.


Retention of information

Pan Oston B.V. only retains and uses data provided directly to Pan Oston B.V. or when clear information that the data will be provided to us is included.

Pan Oston B.V. will not retain your data longer than strictly necessary. Pan Oston B.V. is allowed to retain anonymized data for statistical or research purposes. Pan Oston B.V. has taken adequate security measures to prevent loss, unauthorized use, or unauthorized change of the information provided by you.

The data provided by you via the contact form will be removed from our system one year after termination of our contact with you.

Which cookies?

First Party Cookies:

These are cookies placed by our own site, and only read by our site. These cookies are used for the technology and the functionality of the website.

We use the program Analytics by Google Inc. We have entered into a processor agreement with this company and we share data with them. We use Google Analytics anonymized as much as possible, among other things by excluding the IP address. We use this service for analysis and for improvement of our website by monitoring how visitors use our website.


Google can provide this information to third parties if Google is legally obliged to do so, or if these third parties process the information for Google. We have no influence on this. We have not given Google permission to use the Analytics data for other Google services.Pan Oston B.V. uses cookies with a purely technical functionality. These ensure that the website works properly and, for example, that the website remembers your preferred settings.

As you may have noticed we use social media integration buttons on our website for linking and sharing our pages on networks such as Facebook, LinkedIn and Twitter. We handle the data we collect via our website with care and we make sure that processing is in conformity with the applicable laws and regulations. Pan Oston B.V. is not responsible or liable for the use of cookies by third parties, including for websites visitors are linked to from our website or used by the user in any other way, such as YouTube, Twitter, LinkedIn, Facebook, etc.


View, change of delete data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your permission to process your data, to object to processing of your personal data by Pan Oston B.V., and to demand transferability of your data. The latter means that you can submit a request to us to send your personal data in our possession in a computer file to you or to another organisation indicated by you. You can send a request to access, correct, delete or transfer your personal data, your withdrawal of permission for processing, or your objection to processing of your personal data to info@panoston.nl. In order to verify that the request to view the data was submitted by you, we will ask you to include a copy of your ID with your request. On the copy of your passport, black out your photo, the Machine Readable Zone with the numbers at the bottom of the passport, the passport number, and your social security number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, at least within four weeks. Pan Oston B.V. also wants to point out that you can submit a complaint to the national supervising authority (Autoriteit Persoonsgegevens).
